Office Manager at ARTOC

1. Assists the CMD with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
2. Communicates with the general staff on the CMD’s behalf and coordinates logistics with high-level meetings both internally and externally. Coordinates meetings and strategic activities with The Management Team
3. Communicates directly and on behalf of the CMD with Board members, foundation staff, and others on matters related to programmatic initiatives as directed.
4. Coordination with different departments to follow up the progress of taskes
5. Conducts research on prospective corporates to identify and evaluate current needs and assembles materials needed for the proposals.
6. Drafting official reports and letters
7. Supports CMD in his/her external commitments, committees and other projects.
8. Handle Documentations, files tagging, ordering documents by priority, maintaining Signature book updated and organized.
9. Handling all incoming soft and hard mails.
10. Taking notes from MD for drafting correspondence and documentation needed.
11. Organizing and attending CMD meetings; take MOM and report them within 24 hours then store/file them adequately for easy access to CMD’s review.
12. Maintaining the archives of documents and paperwork regarding foreign delegation visits, customer visits, inaugurations, new product launches, activities, events, etc.
13. Attend and organize all Office business outings (Lunch, dinner, gala dinners, events, Iftar invitations, corporate gatherings, etc…) and make a professional yet elegant appearance, at all times.
14. Translating documents from English to Arabic and Vice Versa especially legal documents.
15. Maintaining Office environment, instructing Cleaning Services, making sure MD personal belongings are always well stored and reachable, ordering business cards or any tools he may require, supplies, stationery, office equipment, etc.

Job Requirements

1. University Graduate
2. Tracked proven experiences 10 year +
3. High competency MicroSoft Office
4. High command of English language is a must
5. Excellent organizational skills
6. Multitasking and time-management skills, with the ability to prioritize tasks
7. Professional attitude and appearance
